In a unified communication environment, presence information is crucial for ensuring effective collaboration and call handling.
Teams and Rainbow Presence
Rainbow and Microsoft Teams both manage user presence states to reflect availability in real-time. With Rainbow Telephony for Teams, presence states can be synchronized to avoid interruptions and improve user awareness across platforms.
Rainbow maintains its own presence states (Available, Busy, Do Not Disturb, etc.), which are used to control call routing and notifications within the Rainbow ecosystem. For example, if a user is on a PBX call via Rainbow, their status can automatically switch to "Busy" to inform others of their availability. This helps prevent overlapping communications and ensures call privacy and efficiency.
When presence synchronization is enabled, the systems work together seamlessly:
- If a user is busy in Teams (in a meeting or on a call), Rainbow automatically switches to “Do Not Disturb” to prevent Rainbow contacts from disturbing them.
- Conversely, if a user is engaged in a Rainbow PBX or peer-to-peer call, their presence in Teams is updated to “Busy” so Teams colleagues know they’re unavailable.
- Calendar integration further enhances this logic. If a meeting is scheduled and accepted in the user’s calendar, Rainbow will preemptively set the presence to “Do Not Disturb” during the meeting time, even if no Teams call is ongoing.
Synchronize Teams and Rainbow Presence
This bi-directional synchronization improves the user experience by aligning telephony behavior with actual availability, regardless of the platform in use.
Enable Presence Synchronization
Select the "Sync Presence" icon at the top right of the Rainbow window.
- Calendar/Presence:
Calendar-based presence: select this option to set your presence to "Do not disturb" when an appointment in your Office 365 calendar starts.
Synchronizing Microsoft Teams presence: select this option to synchronize Microsoft Teams presence "Busy" or "Do not Disturb" with Rainbow application. - Select the "Activate" button on the "Calendar/Presence" area, to share your calendar availability information, as well as your Microsoft Teams presence if enabled.
Note: These options can be managed from the Rainbow Settings, in the " Calendar / Presence" tab. See chapter "Rainbow Settings".
Do not Disturb
If you do not want to receive any Rainbow calls, enable the Rainbow "Do not disturb" option. You will appear as "Do not disturb" to all Rainbow contacts, but will remain available to your Teams contacts.
Note: If you have activated "Synchronize Microsoft Teams" (), you will appear as "Do not disturb" to your Rainbow contacts when you enable the "Do not disturb" status in Teams.
: Enable "Do not disturb" option.
You appear as "Do not disturb".
Note: Unselect the " Do not disturb" option if the "Do not disturb" status is enabled in Teams. This way, you will remain available for your Rainbow contacts while appearing as "Do not disturb" to all your Teams contacts.
