Pre-requisites: This feature requires ownCloud integration at the Rainbow Company level.
Rainbow lets you easily share any type of file directly in a conversation or in a Bubble. By default, the "Files” space lets you manage files received or sent via Rainbow.
Integration with ownCloud at the level of a Rainbow Company will delegate the management of sharing to this service. In this case, you'll be able to take advantage of ownCloud's storage and sharing functions directly from your collaboration tools.
Note: Delegating sharing to ownCloud will override Rainbow features. In this case, the “Files” space will no longer be available from the application but will redirect you to your ownCloud application.
Share a File from your Computer
You can share a file saved locally on your computer. In this case, the file will automatically be added to your ownCloud sharing.
- Open a conversation.
- Click on the attach icon to the right of the text input area.
- Select " Attach from my computer". An explorer on your device opens, allowing you to select the file to be attached.
- Select the file to attach.
- Press the send icon or hit the enter key on your keyboard to send the message.
Tips: Once shared in Rainbow, you can view your file in your ownCloud space. All files shared from your computer in Rainbow will be automatically added to a folder named “Rainbow”. You can also check from ownCloud who you've shared the file with. We recommend that you do not modify these users from here, but do so directly from Rainbow.
Share a File from your ownCloud Storage
You can share a file already saved in your ownCloud. In this case, the file will remain in the original folder, and viewing permissions will be updated.
- Open a conversation.
- Click on the attach icon to the right of the text input area.
- Select " Attach from ownCloud". An explorer on your ownCloud opens, allowing you to select the file to be attached.
- Select the file to attach.
- Press the send icon or hit the enter key on your keyboard to send the message.
Tips: Once shared in Rainbow, you can check from ownCloud who you've shared the file with. We recommend that you do not modify these users from here, but do so directly from Rainbow.
Share a File in a Bubble
You can share local files in a Bubble, or files already in your ownCloud sharing. An ownCloud space will be created for each Rainbow Bubble, allowing you to group all shared items in a single location.
- Open a Bubble.
- Click on the attach icon to the right of the text input area.
- Select " Attach from my computer" or " Attach from ownCloud". A dialog box will open to select the file to attach.
- Select the file to attach.
- Press the send icon or hit the enter key on your keyboard to send the message.
Tips: Once shared in a Bubble, a file is automatically added to the dedicated ownCloud space. If the file already existed in another directory of your ownCloud, it will be duplicated in the space. OwnCloud space access rights are based on the list of Rainbow Bubble members.
Unshare a File
You can stop sharing a file with a particular person at any time. To guarantee the best experience, it's important to perform this action from Rainbow and not from the ownCloud interface. Once deleted, Rainbow users will no longer be able to download the file from the conversation or the Bubble.
- Open a conversation or a Bubble.
- Open the contextual menu clicking on the icon that appears when you hover over the file you want to delete.
- Select " Delete". The file is deleted. "This message was deleted" is displayed instead, informing the users that the file is no more available.
Tips: Once the file is deleted from Rainbow, access rights are automatically updated on the ownCloud side.
Note: Depending on your Company's configuration, files deleted in Rainbow are also purged from ownCloud. If your administrator has chosen this option, files deleted from a Bubble will be automatically purged from ownCloud space. Similarly, a file shared in several conversations will be purged from ownCloud as soon as the last share is deleted in Rainbow.
Troubleshooting
This error can be linked to several parameters. The most likely is that the file has been moved or deleted directly from ownCloud. Changing access rights to the file directly from ownCloud can also cause this kind of issue.
To avoid this, it is important to manage access rights only from within Rainbow, by deleting the file from conversations or Bubbles where sharing is no longer required.
If a file disappears from ownCloud, it may have been purged following a deletion from Rainbow. This automatic purge is linked to a configuration managed at Company level and set up by your administrator.
Access rights to ownCloud spaces are based on the list of members of the associated Rainbow Bubble. If a user doesn't appear in the list, it's likely that he or she hasn't yet accepted the invitation to join the Bubble.
