Starting Web Conferencing requires an Enterprise or Business license. You are the Organizer of the web conference by starting it.
The features described in this article are reserved for the Organizers.
Note: A web conference starts from a bubble. All the members of this bubble can join the web conference.
The web conference inherits actions related to the bubble, such as inviting a member, promoting or demoting a member as an organizer, share your bubble by link. For more information about bubbles, consult the dedicated articles. Consult the Bubble section.
Start a Web Conference
The conference service supports up to 120 participants. Access to the conference will be denied to the other participants once this limit is reached.
Note: Use an existing bubble or create a new bubble to start a web conference. For more information, consult the article: Create and Edit a Bubble.
- Open the bubble in which you want to start the web conference.
- Click on " Start the conference" button in the top bar. The web conference starts.
Mute/Unmute Participants or Hang Up with a Participant
During a web conference, the organizer can mute and unmute all participants at once or mute a specific participant. The organizer also has the ability to hang up on a participant.
Mute/unmute all participants
- Open the " Attendees" tab in the information area of the web conference,

To mute all current and new participants: select the " Mute all" button. The mute icon is displayed on each attendee's frame.
To unmute all participants: select the " unmute all" button to ask all current attendees to turn on their microphones. - Select "Apply" button to confirm.
Mute/unmute a participant
- Open the " Attendees" tab in the information area of the web conference,

To mute a participant: select the " Turn off the microphone" icon next to the attendee you want to mute (the icon will appear when you hover your mouse over the attendee). The microphone status icon is displayed on the attendee's frame.
To unmute a participant: select the " Turn on the microphone" icon next to the attendee you want to ask to unmute (the icon will appear when you hover your mouse over the attendee). The microphone status icon is displayed on the attendee's frame.
Tips: You can directly select the microphone status icon on the attendee's frame / to mute/unmute the attendee.
Hang up with a participant
- Open the " Attendees" tab in the information area of the web conference,
- Select the " Hang up" icon next to the attendee you want to hang up (the icon will appear when you hover your mouse over the attendee).
This participant will no longer be able to join the conference in progress.
Manage Raised Hands
During a conference, participants can raise their hands to indicate they wish to speak. The number of raised hands is displayed at the top of the web conference screen: . The thumbnail of those who have asked to speak is framed in yellow.
As the organizer, you can see who has requested to speak, the order of requests, give the floor to someone, or lower all raised hands or just one at a time.
- Select directly the " See raised hands" icon at the top of the web conference screen or open the " Attendees" tab in the web conference information panel.
The number of participants who have raided their hands is displayed. - From the " Attendees" tab, you can :
- see who has raised their hand and in what order the hands were raised (if more than one),
- lower the raised hand for a specific participant by selecting the " Lower hand" icon of the participant,
- lower all raised hands by selecting the " Lower all hands" icons.
Note: You can lower a hand directly from the web conference screen by selecting the " Lower hand" icon on the participant's thumbnail.
Pin a Message in a Bubble
In a bubble, you can Pin one or more messages at any time, making them visible to all members of the bubble. This is very useful for highlighting a specific point in the conversation to revisit or discuss further.
To do this, open the " Messages" tab in the web conference information panel and pin a message using the contextual menu on the right side of the message to pin . For more information about the Pinned messages, consult the article : Highlight Someone in a Bubble.
Add Participants to the Web Conference
You have two ways to add someone to the web conference.
Add Bubble Members
Either you add them as a member to the bubble. In this case, if they accept the invitation, they can join the ongoing web conference and become a member of the bubble, allowing them to participate in future activities of the bubble (like a futur web conference started from the bubble). For more details, please see article: Add an Remove Members in a Bubble.
Add Participants Only to the Web Conference
Business license is required.
Alternatively, you can invite them only to participate in this specific web conference. In this case, the invited guest will join both the web conference and the bubble temporarily. When the web conference ends, they are removed from both.
Note: The call is conducted in peer-to-peer mode, connecting directly with a Rainbow user. Call is done in VoIP mode. If the call addresses a Rainbow user who is in Office mode, the call will rings his deskphone. If the called number is a PSTN number or a device internal number, the Pbx will route the call to the destination. For Hybrid OXE/OXO, the internal routing configuration must permits these calls and the service must be open in Rainbow Administration.
In addition a Rainbow Room can be called directly from the web conference.
Multiple participants can be called at once.
- Open the bubble in which you want to open the web conference.
- Click on " Call participants" button in the bottom of the web conference window.
- Open the dialpad and enter the internal or external number of your contact.
- Click on " Call" button in the panel to add the number to the list of persons to invite. You can add other numbers by the same way.
- Apply by selecting the "Apply" button.
For Rainbow users, new participants are invited to join the web conference by selecting the "Join" button in the pop-up notification, or "Decline" if they do not wish to participate in the web conference. In other cases, an audio call is established with the participant, but video functionality will not be available.
Lock/Unlock a Web Conference
The organizer can lock the web conference so that no one else can join the web conference.
- Open the " Attendees" tab of the web conference information area.

To lock the web conference: select the "unlock" icon to lock the meeting to prevent any further participants from joining the web conference, even people to whom invitations have been sent. Select the "Lock" button to confirm.
To unlock the web conference: select the "lock" icon to unlock the meeting so that new attendees will be able to join the web conference. - Select the "Lock"/"Unlock" button to confirm.
End or delegate the Web Conference
Initiator of a conference only can end or delegate the web conference.
Note: When a web conference is ended in a newly created bubble, owner of this bubble can decide to immediately archive or delete the bubble if it will no longer be used.
End The Web Conference
- Select the " Hang up” button.
- Select the "End meeting" button to end the web conference.
- Once the meeting is over in the new bubble, you can choose to keep the bubble.
Delegate and Leave the Web Conference
Initiator of a web conference can delegate the control to another participant with a Rainbow Enterprise service plan and then leave the web conference, allowing the other participants to continue the web conference.
- Select the " Hang up” button.
- If you alone want to leave the meeting, click on "Delegate and leave the meeting”.
- Select the participant to whom you will give the control of the meeting. Select the "Delegate" button.
- You leave the meeting. You can rejoin a running meeting at any time by clicking on the "Join" button.
