This article allows administrators to configure manager/assistant groups for their company associated to a PBX.
A manager/assistant group consists of one manager and one or several assistants with following rules:
- A member cannot be both a manager in one group and assistant in another group
- A member cannot be manager in several manager/assistant groups
- A member can be assistant in several manager/assistant groups
The manager and assistants can:
- Activate delegation: the manager does no longer receive phone calls: they are managed by available assistants in the group
- Deactivate delegation: the manager receives and answers phone calls
Delegation can be activated by the manager provided that there is at least one assistant in the group.
The assistants can also modify the call forwarding programmed by the manager.
Note: By default, all the members are logged in after manager/assistant group creation.
Prerequisites
- Manager and assistants must have at least a Business license.
- Manager and assistants must be associated to a device in PBX (e.g. remote extension or deskphone).
Accessing the group management window
- From the Rainbow administration interface, click on Manage your company in the left panel.
- In the MY COMPANY panel, click on the name of your company.
- In the left panel, click on Communication.
- In the right part of the window, click on the Supervision tab.
Creating a manager/assistant group
- From the group management window (Supervision tab), click on Create.
- Enter the name of the manager/assistant group.
- In the Type field, Select Manager / Assistant.
- Click on Create.
- To add the manager, enter the first letters of his/her name or email address. A list of matching entries appears allowing you to select the member of your choice.
- To add assistants, enter the first letters of their name or email address. A list of matching entries appears allowing you to select the members of your choice.
- Click on Add.
The manager/assistant group is created and displayed in the group list.
Configuring a manager/assistant group
- From the group management window (Supervision tab), click on the target manager/assistant group and select the Manager/assistant tab.
- Perform any of the following:
- To remove an assistant: click on in front of the target assistant, and select Remove member.
- To add an assistant: enter the first letters of the member name or email address and select the member of your choice in the list of matching entries.
- To change the manager: remove first the current manager and add the new one in the same way as for assistants.
- Click on Update.
Warning: At least one manager and one assistant must be configured for group update. If it is not the case, the Update button is grayed.
Deleting a manager/assistant group
- From the group management window (Supervision tab), click on in front of the target manager/assistant group, and select Remove group.
- Click on Remove.
The manager/assistant group is deleted from the group list.
