Note: This article explains how to manage the subscriptions of partner companies.
Note: A Business Partner is primarily a member of their own company. As an administrator, they can manage the subscriptions of their own company. For more information, please refer to the article "Manage My Subscriptions".
Add New Subscription
Role required: This feature is availble only for the Business Partner with "Finance" role.
Add a new subsciption plan to a customer company.
- Open the subscription status of a customer company (see the article: Subscription Dashboard).
- Click on "Add a new subscription".
- Select a service plan based on your needs and infrastructure and click on "Continue" button.
- Select an offer : monthly or x Year prepaid based on the selected offer.
- Adjust the number of licenses,
- The contact duration in months is displayed regarding the selected offer. You can increase the number of months if necessary. The expiration date and the payment period are displayed for information.
- In case of one or more years prepaid, you can activate the automatic renewal of the subscription at the contract term, by selecting the option "Automatically renew subscription".
Select to renew each time (automatically renew the subscription at each contract term) or to renew one time (automatically renew the subscription only at the next contract term) or renew in monthly licenses (transform prepaid subscription into monthly).
Finally, you can increase in months the next contract duration after renewal. - Enter your internal purchase number for information (to facilitate your accounting).
- Enter promotional code if you have one.
- Press the "Subscribe" button to create the new subscription.
The new subscription is added to the subscription status page.
Note: If you already have a subscription for the service plan you want to create a new subscription for (the service plan is already displayed on your dashboard), you can directly create a new subscription for this service plan by selecting " Add another subscription" from the
contextual menu.
Update Subscriptions
Role required: This feature is available for the Business Partner with "Finance" role or Business Partner/End Customer with "Administration" role with the rights to manage subscription.
- Open the subscription status of a customer company (see the article: Subscription Dashboard).
- Select "
Manage subscription" by opening the
contextual menu for a subscription.
- With the "Finance" role, you can madify all subscription parameters based on the offer, such as contract duration, contract renewal (yearly prepaid), and more.
With the "Administration" role and the rights to manage subscriptions, depending on the rights granted to you by the Business Partner. You can increase or increase/decrease all licenses or just monthly licenses, and change the renewal option (yearly prepaid). - Select "Update" button tu update the subscription.
Unsubscribe from Offer
Role required: This feature is availble only for the Business Partner with "Finance" role.
- Open the subscription status of a customer company (see the article: Subscription Dashboard).
- Select "
Unsubscribe from offer" by opening the
contextual menu for a subscription.
- Confirm by clicking on the "Confirm" button. The subscription status is updated.
- Select "
Back" to go back to the list of customer companies.
Delegate the right to update subscriptions by administrator
Role required: This feature is availble only for the Business Partner with "Finance" role.
As a Business Partner, you can delegate the right to update subscriptions to the administrator of the customer company. Depending on the granted rights, the administrator of the compnay is able to increase or increase/decrease all licenses or only monthly licenses, and change the renewal option (yearly prepaid).
- Open the subscription status of a customer company (see the article: Subscription Dashboard).
- Select the "Delegation & Notifications" tab at the top of the window.
- Check "Admin has the right to update subscriptions" and select the level of rights you assign to the administrator: increase or increase/decrease all licenses or only monthly licenses (number of licenses and duration).
- Select "
Back" to go back to the list of customer companies.
Note: You can also enable notifications for the administrator to be notified before the current subscription period expires. To do this, check the "Admin is notified before the prepaid subscriptions expire" option.
