There are two types of supervision group: Default and Mutual aid.
Each supervision group includes one or several supervisors and the company members to supervise. Members can be supervisors or supervised members in several supervision groups.
The supervision groups (Default and Mutual aid) allow supervisors to:
- Monitor the state of supervised members (presence and phone activity)
- Manage calls for supervised members (call pickup and call transfer)
The Mutual aid supervision groups provide additional features, with possibility to:
- Authorize/forbid the last supervisor and last supervised member to log out from the supervision group
- Authorize/forbid the supervisors and supervised members to log in/out the supervision group
- Grant supervisors with the Supervisor / Admin role to:
- log in/out members to/or from supervision group (only the members authorized to log in/out the supervision group)
- Cancel/modify the call forwarding programmed by the members of the supervision group
Configuration operations of supervision groups are performed from the group supervision management window of the company: see: Accessing the supervision group management window.
From the group supervision management window of the company, you can:
- Create one or several supervision groups for the company: see: Creating a supervision group
- Manage supervision group settings: see: Modifying a supervision group
- Delete supervision group: see: Deleting a supervision group
Prerequisites
- Supervisors must have an Attendant Custom license.
- Supervisors and supervised members must be associated to a device in PBX (e.g. remote extension or deskphone).
Accessing the supervision group management window
- From the Rainbow application, click on Manage your company in the left panel.
- In the MY COMPANY panel, click on the name of your company.
- In the left panel, click on Communication
- In the right part of the window, click on the Supervision tab.
Creating a supervision group
- From the supervision group management window, click on Create.
- Enter the name of the supervision group, and a description, if needed.
- Enter the type of supervision group: Default or Mutual aid group.
- Optionally, if Mutual aid is selected, select the Lock the last member (no empty group) check box to forbid the last supervisor and last supervised member to log out from the supervision group.
- Click on Create.
- Add the supervisors one by one in the corresponding field: enter the first letters of their name or email address and select them in the list of matching entries.
Note: Click Later to quit the page and create the supervision group without any supervisor or supervised member. You will be able to add member later: see: Modifying a supervision group.
- If the supervision group is Mutual aid, in Roles column, select the role of members in supervision group: Supervisor or Supervisor / Admin.
- If the supervision group is Mutual aid, in In/Out permission column, authorize or forbid the supervisors to log in/out the supervision group: Allowed or Locked.
- Click on Add.
- Add the supervised members one by one in the corresponding field: enter the first letters of their name or email address and select them in the list of matching entries.
Note: Click Later to quit the page and create the supervision group without any supervisor or supervised member. You will be able to add member later: see: Modifying a supervision group.
- If the supervision group is Mutual aid, in In/Out permission column, authorize or forbid the supervised members to log in/out the supervision group: Allowed or Locked.
- Click on Add.
The supervision group is created and displayed in the group list.
Modifying a supervision group
- From the supervision group management window, click on the target supervision group.
- In the Information tab, modify the supervision group settings, if needed.
- To configure members, click on the corresponding tab (Supervisors or Supervisees), and perform any of the following:
• To add members: enter the first letters of their name or email address in the corresponding field and select your choice in the list of matching entries.
• To remove a member: move your mouse over the target member, click on , and select Remove member.
• To change the member role: in Roles column, click on the down arrow in front of the target member and select the new role.
• To authorize/forbid a member to log in/out the supervision group: in In/Out permission column, click on the down arrow in front of the target member and select the appropriate permission.
- Click on Update.
Deleting a supervision group
- From the supervision group management window, move your mouse over the target supervision group, click on , and select Remove group.
- Click on Remove.
The supervision group is deleted from the group list.
