This article allows company administrators to configure the settings of their company members.
Give greater control over Rainbow features users have access to thanks to user profiles. Define and manage what different user types can see and do in applications, so they can perform their business tasks more efficiently.
Five predefined profiles are available:
- Collaboration, full featured
- Collaboration, without video
- Microsoft Teams telephony only
- Telephony
- Telephony and Rainbow audio
- ...As well as a custom profile.
You can apply a profile to all users of the company or to a group of users.
Create as many user profiles you need based on user types. When you create a new profile, you can decide to make it the default profile for your company (only users with the company's default profile will be updated with this new profile).
Predefined Profiles
Set up a default profile for the company
- Open your administration Dashboard by clicking on the "
Manage your Company" space in the left menu.
- In the "MY COMPANY" panel, click on the
name of your company.
- Select the "Profiles" tab in the "
Members" section.
- Select one of the profiles from the drop-down menu under "Select a user profile".
- Click '
Apply' at the top right of the page.
- Select "Yes" at the "Change default profile?" pop-out.
Create a custom user profiles
- Open your administration Dashboard by clicking on the "
Manage your Company" space in the left menu.
- In the "MY COMPANY" panel, click on the
name of your company.
- Select the "Profiles" tab in the "
Members" section.
- Select "+ Create a profile" from the drop-down menu under "Select a user profile".
- Enter the "Profile name".
- Configure the settings for each Rainbow features.
- When you have finished, click '
Apply' at the top right of the page.
- If you want this custom user profile to be the Default profile for your company, click Yes. If you click No, you can apply this custom profile to specific users from the "Members" tab.
Tips: If you want to start all over again, click on ' Reset all fields'. But be careful, you will lose your settings!
Re-editing a customised profile
- Select the customised profile from the drop-down menu under "Select a user profile".
- When you have finished editing, click '
Apply' at the top right of the page.
- When you modify an existing profile, you can decide to make it the Default profile for your company (only users with the company's default profile will be updated with this profile).
Delete a custom user profile
Delete a user profile you have created if you no longer need it. The company's default profile will automatically be reassigned to users whose profile have been deleted.
- Open your administration Dashboard by clicking on the "
Manage your Company" space in the left menu.
- In the "MY COMPANY" panel, click on the
name of your company.
- Select the "Profiles" tab in the "
Members" section.
- Select the customised profile from the drop-down menu under "Select a user profile".
- Click on "
Delete" next to your profile name and confirm the deletion.
Note: The Default profile defined for the company cannot be deleted, you must assign another profile first.
Description of rights for each Rainbow feature
- Use animated GIFs in conversations: when authorized, you will be able to send animated GIFs in conversations. -Send read receipts in individual conversations: when not authorized, message status will not be displayed.
- Send read receipts in individual conversations: when authorized, you will be able to send or withhold read receipts in one-on-one conversations.
- Chat notification duration: you can set the duration of the notification display time.
- Use Softphone mode: when authorized, you will be able to use the Rainbow interface to handle your phone calls directly via a softphone. Select "Forced" to enforce Softphone mode to all users with this profile
- Use IP audio (Rainbow call) in individual or multi-party conversations: when authorized, you will be able to start/receive Rainbow calls and join web conferences.
- Use IP video in individual or multi-party conversations: when authorized, you will be able to add your video in conversations.
- Call a participant using a phone number: the addition of a PBX call from a P2P Rainbow call or a bubble can be decided for each user by defining a new barring option in the profiles. The values can be: Allowed for all numbers allowed/ Internal / National / Not allowed.
- Allow Other phone mode : when authorized, users will be able to use Other phone mode.
- Allow Computer Mode (VoIP): when authorized, users will be able to use Computer Mode such as Web call.
- Share or transfer files: when authorized, you will be able to share or transfer files in conversations, channels and to your Rainbow personal storage space.
- See speaking time statistics: when you do not authorize bubble creation, use, or join, bubble statistics will also be automatically disabled.
- Record conferences: when authorized, you will be able to record in Web conference.
- Change name (title, last name, first name, nickname): when authorized, you will be able to change your personal information (title, first name, last name, nickname, job title).
- Change application settings: when authorized, you will be able to change some general settings.
- Change telephony settings: when authorized, you will be able to change your telephony settings.
- Use the 'invisible' presence state: when authorized, you will be able to use the 'Invisible' presence state, which allows you to appear offline to other users while still being connected and using Rainbow.
- Access the What's new: when authorized, What's new space is displayed in the left bar.
- Access the training area: when authorized, E-learning spaces are displayed in the left bar.
- Earn badges to track your progress: when authorized, E-learning space will display your progress.
- Access the FAQ: when authorized, "FAQ" is displayed in the "Help and support" option in the menu.
- Send anomaly report: when authorized, you will be able to send anomaly reports to the Rainbow support team in case of technical issues or unexpected behavior. This feature helps identify and resolve problems by sharing diagnostic data.
- Use the configuration tester: when authorized, you will be able to use the configuration tester tool, which checks the network and system settings to ensure optimal Rainbow performance.
- Access the Rainbow Store: when authorized, "Rainbow Store" is displayed in the menu.
